Video Business Production Tips - How To Breathe Life Back Into Almost Dead Video Proposals
At the end of each year, I take time to reflect on the overall success of each major business function (marketing, sales, accounts receivables, operations, etc.) to analyze the good, the bad and the ugly so I can make necessary adjustments for the following year.
All in all, last year wasn't as successful as previous years although I still managed to make a reasonable profit. With this in mind, I spent a lot of my time digging in to the sales function to see if I could figure out what the problem might have been.
After careful analysis, I realized that we didn't win MOST of the proposals that were submitted in the previous 12 months. Then, after investigating even deeper, I realized that there were still over 30 proposals that hadn't officially been closed which meant that there still might be hope! With that in mind, I set out to figure out how to resuscitate these deals so that I could get off to a great start in the new year. Here's what I did:
I knew that many of the contract opportunities we lost last year were due to our price being too high. The economy has been soft for any number of reasons so prospects and clients have kept close watch on their checkbooks. My assumption was that the remaining "open" proposals that hadn't officially been shot down by my prospects/clients were probably being delayed for the same reason....price.
To help move things along or "to give them an offer they couldn't refuse," I sent an email to every prospect/client with an open proposal offering between a 25% and 50% discount (depending on the project) if they would agree to sign a contract within 10 business days.
The "win" for them of course was that they get a significant discount in exchange for approving the project within 10 business days. The "win" for me is that I get to fill open dates in our production schedule immediately plus get my hands on a truckload of cash early in the year. Even though I wouldn't be making our standard per hour rate, I'd still be making a lot of money in a short period of time.
Within 3 days after sending the emails offering the incentive, I closed 3 deals worth approximately $15,000 and received several emails and phone calls from prospects/clients indicating that they are still very much interested in their projects but won't be able to move that quickly.
I plan to call the people who haven't responded yet to see if they are interested. I expect I'll close at least two more deals before the deadline based on the success experienced thus far.
The point of this article is to encourage you to find ways to breathe life back into dead or stagnant video production proposals. If you feel like price is the reason your prospects/clients are dragging their feet, consider offering them a discount.
You may not want to be as aggressive as the example above, but regardless of what you decide, remember that a bird in the hand is always better than two in the bush. Getting 50% or 75% of the money in order to get a project moving today is always better than getting 0% because you didn't want to discount your rates.
However, it's only good if you can get the prospect/client to agree to move on the project immediately. Less money for a project won't help you unless you can turn the project around and collect the cash as soon as possible. Remember this! Concessions on your part equals faster payment on their part.
This example assumes that demand for your services is currently low which means that your supply (capacity) is high - making it wise to discount your rates to get the work. If you are slammed (demand high / supply low) then you probably won't need or want to discount your rates because your cash flow will be fine.
